The Doctor Coordinator is responsible for managing and coordinating the patient journey between doctors, therapists, and branch operations. The role ensures smooth scheduling, patient communication, documentation, and operational efficiency while supporting doctor schedules, clinic workflow, and overall patient satisfaction.
Duties
- Serve as the primary liaison between doctors, therapists, patients, and branch operations.
- Address patient inquiries, concerns, and feedback professionally and escalate when necessary.
- Coordinate with front desk staff to optimize doctor schedules and reduce patient waiting times.
- Track doctor availability, patient load, and operational efficiency metrics.
- Support clinic initiatives, promotions, and cross-department collaboration to enhance patient experience.
- Take patient feedback, track satisfaction, and encourage Google reviews.
- Ensure smooth internal communication regarding patient care, doctor schedules, and clinic updates.
Functional & Communication Responsibilities

Administrative Responsibilities
- Maintain and update patient records in clinic management software.
- Prepare daily and weekly reports on doctor appointments, patient flow, and operational performance.
- Assist in onboarding or training new clinical staff regarding scheduling and coordination procedures.
- Ensure compliance with clinic policies, safety guidelines, and operational procedures.
- Welcome and greet patients professionally and guide them through the clinic journey.
- Ensure accurate patient registration, documentation, and consent forms are completed prior to doctor consultations.
- Monitor patient flow, waiting times, and priority cases, and inform doctors or clinical staff as needed.
- Support doctors during patient consultations, including coordinating equipment, reports, or patient records.
- Maintain accurate patient charts and clinical documentation, ensuring compliance with privacy and data protection standards.
- Report operational issues, scheduling conflicts, or patient concerns promptly to the Branch Manager.
- Ensure treatment rooms and consultation areas are ready for use, clean, and well-equipped.
